Commercial cleaning guide

What should be included in an office cleaning scope?

A strong office cleaning scope tells both parties what will be cleaned, how often, when it will happen and what sits outside the routine.

Modern Melbourne office requiring a documented cleaning scope

A strong office cleaning scope tells both parties what will be cleaned, how often, when it will happen and what sits outside the routine.

01

Start with areas, not a generic task list

List every area the cleaning team is expected to enter. This prevents meeting rooms, quiet rooms, storage areas or secondary amenities from being assumed rather than agreed.

  • Reception and entries
  • Workstations and open-plan areas
  • Meeting and training rooms
  • Kitchens and breakout areas
  • Washrooms and showers
  • Internal glass and partitions
  • Stairs, lifts and corridors
  • Waste and recycling points
02

Assign a frequency to every task

“Clean the kitchen” is open to interpretation. A better scope separates daily presentation tasks from weekly detail work and periodic services. Frequencies should respond to occupancy and use rather than applying one interval to every room.

03

Separate routine and periodic work

Carpet extraction, machine floor work, detailed internal glass, high dusting and other periodic services should appear with their own frequency or approval process. This avoids disputes when a task is needed but was not included in the routine price.

04

Document access, security and responsibilities

Record service times, key or alarm arrangements, restricted rooms, storage, consumables, waste procedures and how issues are reported. The scope should also show who supplies equipment and products, and how variations are authorised.

05

Use the scope to manage the standard

A scope is useful only when people can review it. Facility representatives and the cleaning team should be able to identify missed areas, changed needs and periodic tasks without relying on memory.

Questions about this guide.

01Should an office cleaning scope show frequencies?

Yes. Every task or task group should have an agreed frequency or trigger.

02Should carpet and windows be separate?

They can be included in the same contract, but periodic carpet, floor and glass tasks should still be identified clearly.

03Can CIC help write the scope?

Yes. The free site inspection is used to understand the workplace and prepare a practical cleaning scope.
